Strategic Executive Assistant & Operations Coordinator

About the Role

This role sits at the intersection of executive support, people operations, and internal execution. You’ll support both founders (CEO & CRO), help keep priorities moving forward, and ensure the day-to-day operational details of the business run smoothly. This is not a traditional admin role. You’ll be trusted to anticipate needs, create structure where there’s ambiguity, and help the company scale without chaos. You’ll work cross-functionally with sales, operations, finance, customer success and marketing, and you’ll play a meaningful role in shaping how Bold Reuse operates internally.

You Will:

  • Executive & Administrative Support

    • Manage inbox follow-ups, task prioritization, and reminders for founders

    • Coordinate calendars, schedule cross-functional meetings, and protect deep-work time

    • Prepare agendas, review AI notes and manage outcomes/action items for leadership & Board meetings

    • Manage expense submissions, receipts, and approvals for executives

    Strategic & Operational Execution

    • Track company- and team-level OKRs; support regular check-ins and reporting

    • Maintain shared project boards  (Asana, Google Drive) and ensure updates stay current

    • Help translate leadership priorities into clear next steps across teams

    • Flag risks, dropped balls, or unclear ownership before they become problems

    People Ops & HR Support

    • Coordinate first-round phone screens and scheduling for open roles

    • Manage candidate communications and interview logistics

    • Own new-hire onboarding logistics (accounts, tools, equipment, first-week setup)

    • Support offer letter coordination, contractor agreements, and background checks (in partnership with leadership and external vendors)

    Office & Team Coordination

    • Serve as office manager across physical and remote workspaces

    • Manage office supplies, vendors, and general workspace needs

    • Support office organization, signage, storage, and shared system

    Culture & Internal Communications

    • Coordinate weekly all-hands meetings (agenda, slides, presenters, follow-ups)

    • Plan employee celebrations, team moments, and recognition

    • Support planning and logistics for offsites and team events (virtual + in-person)

    • Reinforce company values and culture through thoughtful internal moments and communication

    Special Projects

    • Provide short-term support admin capacity gaps across teams as needed

    • Guide internal initiatives that don’t fall neatly into one department

    • Support grant reporting, marketing events, or implementation planning when required

You Have:

  • Minimum of 3-5 years of experience. 

  • Advanced Google Suite skills, with an ability to become familiar with organizational specific programs and software.

  • Exceptionally organized with a strong bias toward action

  • Proactive, anticipatory, and comfortable working with senior leaders

  • Calm in ambiguity and able to move forward without perfect instructions

  • A clear, thoughtful communicator who knows how to nudge and follow up with tact

  • Energized by helping others succeed behind the scenes

  • Comfortable juggling multiple priorities across tools like Asana, Slack, and Google Workspace

About the Role

Bold Reuse is a full-service reuse platform that eliminates single-use waste. We’ve already eliminated more than 4 million pounds of packaging from the landfill, and we’re just getting started! Our mission is to make the circular economy a reality for any business that wants to reduce its packaging waste.

We’re seeking a Part-Time Procurement Manager to manage purchasing and vendor coordination across teams. This role is responsible for handling purchase requests from internal teams - ensuring on-time ordering, vendor follow-up, back-billing to customers, issue resolution with suppliers, and real-time tracking of spend. If you’re someone who thrives on organization, can juggle multiple requests, and has a passion for sustainability, we’d love to work with you.

You Will:

Procurement Operations

  • Create purchase orders, in coordination with internal teams 

  • Submit purchase orders, monitor delivery timelines and resolve order delays or discrepancies with vendors

  • Track and maintain a log of purchase orders, communicate status of orders with internal 

  • Manage the order completion process, confirming receipt of orders, and coordinate with finance teams to back-bill customers for assets purchased on their behalf

Vendor & Catalog Management

  • Source new asset options, maintain and grow a vetted database of vendors

  • Obtain and document and compare quotes for assets, ensuring adherence to internal purchasing guidelines

  • Update internal catalogs and pricing documentation for frequently ordered assets

  • Build and maintain relationships with key vendors and negotiate pricing/terms where appropriate

Process Support

  • Track spend across projects, customers, and departments

  • Support invoice reconciliation and payment coordination with the Finance team

  • Drive process development and continuous improvement for procurement workflows

You Have:

  • 2-3 years experience in procurement or purchasing for a high pace organization

  • Strong organizational skills and ability to manage multiple priorities simultaneously

  • Experience working with suppliers, tracking orders, and managing budgets or billing

  • Proficiency in Google Sheets and comfort with digital tools (e.g., Airtable, QuickBooks, Ramp or other inventory/order tracking systems)

  • Excellent written and verbal communication

  • Self-starter mindset and comfort working in a fast-paced, startup environment
